How we look after your data

At Elite Sports Travel, we take our customers’ (and potential customers’) data protection extremely seriously. In particular we want you to know that we do not buy, sell or rent any of our customers or potential customers data at any time. All data collected is used by us internally to enable us to provide you with quotations and bookings of services based upon the selections you make or the products you have registered an interest in.

This Privacy Policy determines what, when and why we collect data from you, how we use the data that you give to us, the limited conditions we may have to disclose it and how we keep it safe. It also contains details of how you can find out what data we hold on you and how to remove that data should you wish us to.

Cookie policy

This site uses cookies, which are small text files placed on your machine to help the site work properly and to help us understand how it is used. Essential cookies make the site work: they remember things like the contents of your basket while you complete a booking. Analytics cookies, set by Google Analytics, provide anonymised information about how visitors use the site (see Google Analytics below). And if you arrive from one of our Google adverts, Google’s conversion measurement cookies tell us that the advert worked (see Google Ads below). If you agree to advertising cookies, Meta’s pixel also sets cookies that let us measure whether our Facebook and Instagram advertising leads to enquiries and bookings (see Meta advertising below). None of this happens unless you choose it in the cookie notice. Our own visitor measurement uses your browser’s local storage rather than cookies; see Website analytics below.

You may prefer to disable cookies on this site and on others. The most effective way to do this is to disable cookies in your browser. We suggest consulting the Help section of your browser, or taking a look at the About Cookies website, which offers guidance for all modern browsers.

Some pages include films hosted by Vimeo. We embed these players with Do Not Track enabled, so Vimeo does not build a viewing profile of you; it receives only the technical information needed to play the film when you press play.

Website analytics

We use a first-party analytics tool, part of our own booking system, to understand how visitors use our website, for example which pages are viewed, whether prices are looked at, and whether an enquiry form is started or a call or WhatsApp chat is begun. This tool stores a random identifier in your browser’s local storage; it does not use advertising cookies, does not record your IP address, and does not share data with third parties. This anonymous visit data is only linked to you as an individual if you identify yourself to us, for example by submitting an enquiry form or clicking a link in an email we have sent you, at which point it is processed together with your enquiry on the basis of our legitimate interest in understanding how customers find and use our services. You can clear the identifier at any time by clearing your browser’s site data.

Google Analytics

When someone visits www.elitesportstravel.co.uk we use a third party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website.

Google Ads

We advertise on Google, and we use Google’s conversion measurement tag to tell us whether that advertising works. If you arrive at our site by clicking one of our adverts, the tag sets cookies that let Google report to us that the visit came from an advert and whether it led to an enquiry or booking. We use this to measure and improve our advertising, not to build a profile of you. You can control how Google personalises advertising to you through Google’s Ads Settings, and you can read about how Google uses this data in Google’s advertising privacy notice.

Meta advertising

We advertise on Facebook and Instagram, and to tell whether that advertising works we use the Meta pixel, a small piece of Meta’s code on this site. With your consent, the pixel sets advertising cookies in your browser and tells Meta which of our pages you looked at, when you started a booking and when you completed one, with the trip and its price but never your name or contact details. Meta uses this to report to us which adverts led to an enquiry or a booking, and may use it to decide what it shows you on its own services. The pixel does nothing, and sets no cookie, unless you choose “Accept all” or switch on Advertising in the cookie notice.

You can change your mind by clearing this site’s cookies in your browser, after which the question is asked again. You can also control how Meta uses advertising data about you in Meta’s ad preferences.

When you send us an enquiry or make a booking, our booking system also tells Meta that an enquiry or booking happened, so that one made after clicking one of our adverts is counted once and correctly. With that it sends only the identifiers from the pixel’s cookies where you consented to them, the page address, and your device’s IP address and browser type, and never your name, email address or telephone number. You can read how Meta handles this data in Meta’s privacy policy. To have an enquiry’s data deleted, email sales@elitesportstravel.co.uk.

Mailing lists & form submissions

When you submit an enquiry to us through our web site, via email or over the telephone, we collect some personal information. We use that information for a couple of reasons: to tell you about stuff you’ve asked us to tell you about; to contact you if we need to obtain or provide additional information; to check our records are right and to check every now and then that you’re happy and satisfied. We don’t rent or trade email lists or any of your details with other organisations and businesses at all.

If you start an enquiry through Design My Trip and give us your email address, we save your progress as you go, so that if you do not finish, a member of the team can pick up where you left off rather than losing what you have told us. If you would rather we deleted a partial enquiry, just ask.

We use a third-party provider to deliver our email marketing messages by email. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our e-newsletter. You can unsubscribe to marketing emails at any time of the day or night by clicking the unsubscribe link at the bottom of any of our emails or by emailing us at sales@elitesportstravel.co.uk and asking for your email address to be removed from our marketing list.

You can also open a WhatsApp chat with us using the WhatsApp button at the top of every page. While your messages are in transit they are covered by WhatsApp’s own terms and privacy policy; the details you share with us in that chat are treated exactly like any other enquiry and handled as described in this policy.

CRM system

When you make an enquiry or booking with Elite Sports Travel your name, address data, email and contact number, along with details about the nature of your booking and the services you have booked will be stored in our CRM system. If your enquiry came through Design My Trip, that includes the answers you gave along the way, such as the event you are interested in, your party size, travel dates and preferences, and the page you started your enquiry from.

Our CRM runs on Passport, our own secure booking system, which syncs contact and enquiry records to HubSpot, the customer relationship platform we use to manage conversations. Data passes between this website and those systems over encrypted connections, access requires authentication and is limited to the Elite Sports Travel team, and full payment card numbers are never stored in any of them (see Online payments below). All the information we hold in our CRM is securely stored and please be assured that we do not share your personal details with any other company without your consent.

Online payments

When you pay online, your card details are entered directly into secure fields provided by Worldpay, our payment processor. Your full card number never touches our servers and we never store it; we keep only a reference to the payment and, for your records, the card type and last four digits. Worldpay processes your details in accordance with its own privacy policy and the Payment Card Industry Data Security Standard (PCI DSS).

Who we share your data with

We do not share any customers data with any other third party organisations, except in three situations:

1. In the act of booking travel services with third party suppliers for the purposes of facilitating the booking you are making. These services can be provided by multiple suppliers for each booking and our suppliers are too numerous to list individually here and are not applicable to all customers. For details on the suppliers we use for your booking and for links to the Privacy Policies of each of our suppliers, please contact us at sales@elitesportstravel.co.uk for details specifically relating to your booking.

2. With the hosts and partners who deliver parts of your trip, where that is operationally necessary. For example, some trips include access to secure areas of a club’s or venue’s facilities, and the host will require the names and details of our guests in advance for security and accreditation. We only ever share what the host needs to deliver your trip, and this is always for operational purposes, never for marketing.

3. Where we are requested to do so for the purposes of abiding with the law here in the United Kingdom.

Under no other circumstances do we or would we ever share your details with another organisation.

Access to your personal information

You are entitled to view, amend, or delete the personal information that we hold. Email your request to sales@elitesportstravel.co.uk and we will return your email with the details that we hold on file for you.
